Every piece of company equipment carries obligations the employer cannot ignore: traceable assignments to the personnel who use it, maintenance deadlines and periodic inspections required by safety regulations, checks on the building’s earthing systems under DPR 462/2001, insurance renewals, CE certifications, technical manuals. Failing to meet even one of these obligations is a breach of D.Lgs. 81/08, with consequences that fall directly on the employer.
Assignments: who has what, and since when
Each asset can be assigned to a worker or a crew, with full tracking: handover date, agreed return date, any associated costs (hours of use, distance covered). Transfers between departments, sites or personnel generate a complete audit trail. Sub-asset cascading ensures that when a machine is lent out, its accessories are automatically lent out with it.
Deadlines required by safety regulations
For each asset, Jarvis HSE automatically tracks statutory deadlines. Typical examples among Italian SMEs:
- Lifting equipment — quarterly checks on ropes, chains and braking systems; full annual inspection (D.Lgs. 81/08 Annex VII)
- Category III PPE — mandatory annual inspection (e.g. harnesses, fall-arrest devices, self-contained breathing apparatus)
- Building earthing systems — periodic verification every two or five years depending on classification (DPR 462/2001)
- Fire extinguishers — six-monthly check, ordinary/extraordinary maintenance at 6/12/72 months (UNI 9994-1)
- Pressure vessels — periodic integrity checks
- Company vehicles — roadworthiness tests, fitness checks, vehicle tax deadlines
- Insurance deadlines — renewal of vehicle liability, building liability and equipment policies
For each deadline you can configure multiple pre-alert thresholds (e.g. 60 days and 15 days before the due date), so the person responsible always has time to plan. Real-time indicators across the whole fleet: Compliant, Due Soon, Overdue. The dashboard can be filtered by category, site or responsible team.
Digital documentation, always available
Each asset has a dedicated document archive for:
- Manufacturer manuals and technical data sheets
- CE certificates of conformity and declarations of performance
- Statutory inspection records and periodic inspection reports
- Insurance policies and warranty certificates
- ATEX classifications, special authorisations
- Photographs of the installation and of interventions
All documents are stored in the cloud and accessible from any device — from the manager’s office or from the field, right next to the equipment. Document categories can have their own renewal scheduler (e.g. insurance policy, CE declaration), with an automatic notice before expiry.
Field access: scan to inspect
With Jarvis Mobile, the worker scans the QR code or NFC tag on the equipment and instantly accesses the complete record: compliance status, manuals, certificates, execution of inspection checklists with photo evidence, and logging of completed maintenance (the next deadline is scheduled automatically). No paper, no manual transcription.
Chemical substances and SDS
The Asset module also manages chemical substances, with a digital archive of Safety Data Sheets (SDS), hazard classification via custom fields (GHS class, pictograms, H and P statements, storage class), a scheduler for periodic checks that SDS are up to date, and authorised storage limits. Compliant with REACH (EU Reg. 1907/2006), CLP (EU Reg. 1272/2008) and D.Lgs. 81/08 Arts. 223–228.
