Jarvis HSE module — Pillar 3. The right procedure, in the right hands, at the right time.
A procedure that exists only on a server in the HSE manager’s office is not a procedure — it is a document. In most organisations, the gap between having a procedure and having it followed is enormous. Field workers cannot find it, do not know it has been updated, and do not have access to the latest version. When an emergency strikes, they have no time to look for it.
Jarvis HSE closes this gap by putting every procedure, operating instruction, checklist and emergency plan directly into the hands of every worker — on their phone, pre-downloaded and available offline, always in the latest version, accessible in seconds.
The procedure library
Create, organise and maintain standard operating procedures (SOPs), emergency response plans, risk assessment procedures, environmental procedures, ISO management system procedures and inspection guidelines. All organised into colour-coded categories for quick navigation, with rich text formatting, embedded images and unlimited attachments (PDFs, videos, spreadsheets, technical drawings).
From web to mobile, instantly
Every published procedure is immediately available on Jarvis Mobile to every authorised worker. Browse by category, search by keyword, and access the full content with all attachments. Offline access is critical for field operations: a worker in a tunnel, at a remote site or without signal can pre-download any procedure to their device. When a procedure is updated, the new version is synchronised automatically — obsolete copies are replaced.
Linked checklists: from procedure to evidence
Each procedure can have a linked checklist — a structured set of yes/no questions, measurements or verification steps completed by workers to demonstrate that the procedure has been followed correctly. Each answer is recorded individually with a timestamp and the user’s identity. Photo evidence, measurement readings and voice notes can be attached. The completed checklist becomes a timestamped, geolocated and permanently archived compliance record — objective proof that the procedure was carried out.
Distribution and acknowledgement
When a new or updated procedure is published, Jarvis HSE can send a push notification to the relevant workers. They can be required to confirm that they have read and understood the procedure before the acknowledgement is recorded on the server. This creates a legally defensible chain of communication: not only does the procedure exist, but you can prove that every worker was notified and confirmed their awareness of it.
Compliant with ISO 9001, ISO 14001 and ISO 45001 (controlled document management, operational controls, internal communication).
